FRONT DESK/OPERATOR ASSOCIATE

The Front Desk Associate’s main responsibility is for greeting patients, reps, suppliers, and anyone else that visits PMC which must have excellent customer service skills, patient registration, appointment scheduling, answers phone calls and faxes. The ability to handle any situation that may arise with professionalism, tact, uses independent judgment and maintains composer in hectic environments. Operator Associate’s main responsibility is management of all phone lines both incoming and outgoing calls; calls are to be answered in a timely and professional manner and rout calls appropriately and accurately, notating all patient accounts as needed. This is a dual position, the main responsibility of both will be accordingly to the daily delegation of such, there may be times that the dual roll will be worked at the same time. This position may require travel to all PMC locations.

JOB DUTIES AND RESPONSIBILITIES

Front Office / Operator Associate

  • Excellent Communication and Customer Service Skills
  • Schedules, cancels, and changes appointments as needed
  • Checks patients in and out, verifying demographic information in patient’s chart
  • Verifies, scans and updates insurance cards and information, patient forms and any other forms needed to be in patient’s chart
  • Collects patient balances and communicates directly with the billing department to assist the patient with any balance queries
  • Schedules appointments accordingly using correct visit type, provider, location, etc.
  • Calls patients to confirm, change, cancel or re-schedule appointments
  • Answers incoming calls, transfer calls accordingly on a timely and accurately manner
  • Fax and eClinical Works database management
  • High degree of flexibility required with interdepartmental communication and understanding of PMC’s departments and their correlation with each other
  • Ability to be professional at all times and work as a team, maintaining a clean office environment
  • Perform other non-clinical office duties as needed

QUALIFICATIONS

High school diploma or GED required, prior medical office experience preferred, strong customer service and communication skills, knowledge of basic medical terminology.

PHYSICAL AND SENSORY REQUIREMENTS

Standing alternating with sitting up to 8 to 9 hours per day, 4 hours at a time for some of the above duties may occur. Continuously fingering and handling for data entry, typing, etc. and occasional twisting and turning. Uses upper extremities for occasional lifting and carrying up to 25 lbs. Frequently stoops, bends, or reaches above shoulder level to retrieve files, supplies and other. Hearing as it relates to normal conversation and telephone. Seeing as it relates to general vision. Visual monotony when reading reports and reviewing computer screens.
